About Us Willowest Enterprise is a hospitality-focused wholesale and FF&E supplier, serving hotels across Canada and North America. We provide linens, terry products, furniture, and customized hotel solutions, supporting clients from project planning to container delivery. We are a growing small-medium business and are seeking a proactive team member to support our operations and HR functions as our business expands.
Position Overview
We are hiring a Business Operations & HR Associate to support daily business operations and internal coordination across departments. This role is ideal for individuals seeking hands-on experience in operations, HR administration, project coordination, and business support. Training will be provided.
You will support workflow between Sales, Procurement, Warehouse, Finance, and HR, maintain reporting tools, assist with HR and administrative documentation, and help ensure timely execution of hotel-related orders and projects.
Key Responsibilities
Coordinate workflow and task updates across Sales, Procurement, Warehouse, Finance, and HR
Track order and project status (quotation → PO → production → shipping → delivery → invoicing)
Maintain spreadsheets, internal reporting, and track client order history and performance
Assist with onboarding, employee documentation, and internal file organization
Prepare operational communications (delivery notices, invoice copies, AR reminders)
Support quote template updates, sample request tracking, and basic sales administrative tasks
Maintain internal SOPs, checklists, and records for business continuity
What We’re Looking For
Skills, Qualities, and Experience
Strong organizational skills and attention to detail
Confident with Excel and administrative tools
Effective written communication and professional email tone
Proactive mindset, willingness to learn, and strong follow-through
Interest in business operations, HR, or project coordination
Previous co-op or administrative experience (asset but not required)
Work Environment
Small, fast-paced team environment
On-site work at Richmond head office (not remote)
Direct exposure to hotel projects, B2B communication, logistics, and operations
Mentoring and training from Operations Director and Owner
Compensation & Schedule
Full-time or one-year contract
Monday to Friday schedule
Compensation based on experience (to be discussed in interview)
